Cancellation and Withdrawal Policy

This policy is in place to ensure that those who must cancel their attendance at courses provide adequate notice. Aviation Learning Services will adhere strictly to this policy, the principles of which were endorsed by National Civil Aviation Management Executive (NCAMX) in September 2000.

a)  Cancellations received more than 10 working days prior to start of a course

Cancellations or requests to reschedule registration for another offering of a course will be not be charged any fees related to tuition however, if no substitute can be found, any cancellation fees charged by the facility will be passed on to the participant or their financial authority.

b)  Cancellations received 10 working days or less prior to the start of a course or withdrawals

Internal participants*  Except in the event of a substitution (see c)), internal participants who cancel attendance less than 10 working days prior to the start of a course, fail to appear at a course, or who withdraw from a course while it is in progress will be journal vouchered $200/day for each day missed or the pro-rated external tuition fee (in the case of contracted courses) whichever is greater unless there are valid medical or compassionate reasons. These are to be accepted at the discretion of the Director, Aviation Learning Services (AARE). Any cancellation fees charged by the facility will be also passed on to the participant or their financial authority

Regional and Headquarters functional Directors will be advised accordingly of late cancellations for their respective employees.

External participants*  Except in the event of a substitution (see c)), external participants who cancel attendance less than 10 working days prior to the start of a course, fail to appear at a course, or who withdraw from a course while it is in progress will be required to pay the full course tuition fee unless there are valid medical or compassionate reasons. These are to be accepted at the discretion of the Director, Aviation Learning Services (AARE). Any cancellation fees charged by the facility will be also be passed on to the participant or their financial authority

c)  Substitutions

Should a confirmed participant be unable to attend and wish to substitute their seat on the course with another individual, a request must be made to the Aviation Learning Services Branch prior to the start of the course and the substitution may be accepted at no charge. Substitutions are made at the discretion of Aviation Learning Services and must meet all course prerequisites. Substitutions will not be accepted in the case of a withdrawal.

* Internal Participants — Employees of Transport Canada Civil Aviation Directorate

* External participants — All individuals who are not employees of the Transport Canada Civil Aviation Directorate including other Transport Canada employees, other employees of the Government of Canada, provincial and territorial governments, private sector individuals, industry delegates, employees of foreign authorities.
