Aviation Document Booklet (New Licence Booklet)
The Aviation Document Booklet is a 24-page booklet divided into different sections to accommodate all of the holder’s licences and permits, competency records and medical certificates. Photograph identification has been added to allow for positive authentication.
The Aviation Document Booklet is provided to flight crew members and air traffic controllers as evidence that they have qualified for certain aviation-related permits, licences, certificates and ratings.
To determine whether the Aviation Document Booklet can satisfy requirements imposed by other legislation or whether the document can be used in support of applications to another department, agency or institution, one would have to consult that particular department, agency or institution.

During the validity period of the booklet, the status of individual licences, permits, ratings and medical certificates is likely to change. Adhesive labels, similar to stickers provided by many provinces for motor vehicle licence plate renewals, will be provided to reflect changes in licensing status. Labels will only be valid after being permanently affixed to the proper Aviation Document Booklet. Once labels are attached to the booklet, they cannot be removed without causing obvious damage to the booklet page or the label.

This booklet, all licences, permits and medical certificates are issued under the authority of the
Aeronautics Act and the Canadian Aviation Regulations (CARs). Medical requirements as well as licence and permit privileges are set forth in the CARs.
This booklet expires on the expiry date shown on page 1.
Privileges entered by an authorized person will expire 90 days from the certification date, or upon issue of a new licence or permit containing those privileges, whichever is earlier.
Permits are not based on International Civil Aviation Organization (ICAO) standards and are valid only in Canadian airspace, unless authorized by the country in which the flight is conducted.
Licences conform to the standards set forth in Annex 1 to the ICAO
Convention on International Civil Aviation, signed in Chicago, on December 7, 1944. All Canadian differences to ICAO Standards are published in section LRA 3.10 of the Transport Canada
Aeronautical Information Manual (TC AIM), TP 14371.
In accordance with Article 40 of the ICAO Convention and section 2.1.10.1 of Annex 1, no pilot age 60 or over shall act as pilot-in-command of an aircraft engaged in international air transport operations for remuneration or hire, unless authorized by the country in which the flight is conducted.
This booklet, and all licences, permits or medical certificates become invalid if any of the aforementioned are mutilated, altered or rendered illegible.

The file number in this document is your licence or permit number.

Transport Canada will use the photo submitted to generate a digital shadow photo with security features to help ensure the booklet's authenticity. For additional protection, this photo will also be superimposed on all labels and will have the same security features to prevent misuse or fraud.

This booklet expires on the date shown.

This section is designed to meet ICAO's standard 9303 for machine readable travel documents. It will include the required standard information as well as features determined by Transport Canada to enhance security.

Transport Canada will scan the photo submitted with the booklet, licence or permit application, if it meets the specifications found on the
Passport Canada website. The most recent photo is then stored in the licensing database for future comparison and for record purposes.

Licence and Permit
- This section is dedicated to licence or permit labels. Licence or permit labels must be inserted in this section in accordance with the instructions provided.
- Licence or permit labels are not stand-alone documents.
- Holders are required to insert the appropriate replacement licence or permit label over the applicable temporary privilege certification.
- The validity of this booklet can be confirmed by contacting Transport Canada.
- The holder shall notify Transport Canada of any change of permanent address within seven days of the change.

This bar code is used for security of the booklet. This booklet is a secure document and is controlled throughout its life. Please take care of the booklet. If it is lost, stolen, damaged or rendered illegible, inform Transport Canada as soon as possible.

This service is beneficial to holders because it allows anyone who finds a booklet to mail it back to Transport Canada. Arrangements have been made with Canada Post for Transport Canada to pay for postage when the booklet is returned by mail. This address can be used to mail the booklet back to Transport Canada at any time, but holders should be aware that this is not the safest method.

Transport Canada requires that holders sign their booklet by hand in order to authenticate the licences or permits and medical certificate that it contains. A ball-point pen should be used.

Most holders will only have one licence or permit with the initial issue of the booklet. If the holder has more than 2 licences or permits, Transport Canada will print the labels in the booklet in the following order: a higher category of licence will precede a lower category licence, and a licence will precede a permit. Transport Canada will supply labels on a 'label carrier' for future licences, permits and medical certificates.

Transport Canada will use this space to print the applicant's current licence or permit details in all new booklets issued. The licence or permit will be printed to look like the actual label that holders will receive with any subsequent licences or permits. Please ensure the details are correct, and report any discrepancies to Transport Canada as soon as possible. For more details on the licence or permit label, please see the "labels section."

The CAME renewal stamp will renew the medical certificate, as shown on the top of the left hand page. The opposite page to the medical certificate, will provide additional space for the CAME to renew the medical certificate on the preceding page.
Medical Certification

This booklet is a secure document and is controlled throughout its life. An inventory number is allocated to each booklet at time of production. It has no bearing on the licence, permit or medical certificate. Please take care of the booklet. If it is lost, stolen, damaged or rendered illegible, inform Transport Canada as soon as possible.

Please follow the instructions provided to correctly attach the label. Please note that the label cannot be removed once it has been stuck to the page.
Label Insertion Instructions To insert the label correctly please follow the instructions below:
Step 1: Open booklet to the appropriate page.
Step 2: Determine a new position for the label (next open space on the applicable page).
For label on the left hand page:
Step 3: Peel off label from the label carrier.
Step 4: Carefully place the right short edge side of the label within the alignment marks at
the spine side of the booklet.
Step 5: Keep left side of label away from the page.
Step 6: Smooth the label onto the page from the spine out toward the left edge of the page.
For label on the right hand page:
Step 3: Peel off label from the label carrier.
Step 4: Carefully place the left short edge side of the label within the alignment marks
at the spine side of the booklet.

Transport Canada has assessed language proficiency in accordance with ICAO standards and recommended practices (SARPs) and guidance material (DOC 8735, Chapter 5). This is how the language proficiency will be shown on the licence label. For further details on the level of proficiency, contact your regional licensing office.

Ratings will be printed in this area and will be shown in the form of abbreviations and text. For clarification on abbreviations on some ratings, please see the back inside cover of the booklet.

Label Positioning and Insertion suggestions
(Step 1) Receiving the label in the mail
All subsequent labels for licences, permits, and medical certificates, will be mailed to the holder via regular mail, originating through Canada Post.
(Step 2) Taking the label from the envelope
All subsequent labels for licences, permits, and medical certificates, will be delivered on a label carrier.
(Step 3) Label verification
Check that all the information on the label is accurately represented. Pay attention that the file number and ghost photograph correspond with the details on page 1 of the booklet. The label is only valid if it is attached to the booklet bearing the same booklet number as the one indicated on the label. The booklet number is found on the bottom of page 24 of the booklet. If there are any concerns with the accuracy of the data on the labels, please contact your
Regional Transport Canada Licensing office.
(Step 4) Label attachment instruction review and booklet section selection
The instructions on the label carrier will assist the holder in the preparation for the label attachment, Licence, permit or medical certificate labels will have to be attached in the appropriate sections of the booklet.
(Step 5) Attachment preparation and section verification
Licence, permit or medical certificate labels will have to be attached in the appropriate section.
(Step 6) Label attachment location
Labels should be attached sequentially in the next available space provided in the corresponding section of the booklet. Note: If an authorized person entered new privileges in the booklet, place the new label over the applicable certification.
(Step 7) Label attachment instructions
This label is only valid if it is attached in the booklet bearing the same number as the one indicated on the label. The instruction on the label carrier will provide a method on how to attach a label into the booklet.
(Step 8) Initial removal of the label from the label carrier
This label carrier has been designed so that the label can be easily peeled off the carrier to allow it to be attached to the appropriate page in the booklet. Holders should be very careful to prevent the label from sticking to any surfaces prior to proper alignment and attachment in the booklet.
(Step 9) Peeling the label off the label carrier

Align the short edge of the label parallel with the spine of the booklet. Attachment should start from the spine of the chosen page, to prevent label sticking to another page. The label has strong adhesive and cannot be removed once it has been stuck to a page in the booklet.
(Step 11) Label attachment
Attachment should start at the spine of the chosen page. Once the label has been attached to the page, do not attempt to reposition it.
(Step 12) Subsequent step of the label attachment
Attachment should start at the spine of the chosen page, and smoothed outward to ensure a wrinkle free attachment.
(Step 13) Final step of label attachment
If the label is not aligned correctly or overlaps the page, the holder should not attempt to rectify the fault, as the label will disintegrate. Simply leave the label misaligned or fold it onto the other page. Do not cut the label.
